Understanding the relationship between SharePoint and OneDrive

OneDrive for Business is not a standalone platform; it's a personal window built on top of SharePoint. Every employee's OneDrive is actually a private, single-user SharePoint site collection containing a single document library, hosted on your company's tenant. Under the hood, both platforms share the same Microsoft cloud architecture, file storage engines, and security frameworks.

When an employee leaves and IT deletes their account, their OneDrive isn't immediately destroyed: it's marked for deletion and retained for a configurable period set in the SharePoint admin center (30 days by default, adjustable up to 3,650 days), during which admins can still access it or transfer ownership. Once that retention window closes, the OneDrive moves into the site collection recycle bin for another 93 days before it's permanently deleted, unless it's under a litigation hold or retention policy, in which case it's preserved indefinitely.

PII data classification integration

The MineOS integration for Sharepoint scans all sites on your Sharepoint account and their associated drive files to detect PII stored on them.

The integration supports all major file formats, including textual files, documents, images, etc.

Before you start

• Make sure your MineOS plan supports integrations.
• Make sure you are a SharePoint user with administrator permissions.
• [Optional] Enable Preview mode to view sample PII values alongside classification results. The sample values are stored encrypted and automatically deleted after 7 days. You must enable Preview mode before running the scan to see sample values. For more information about how to set up Preview mode go here.

Setting up

1. To connect SharePoint integration, on the left sidebar, click on “Inventory -> Data Sources” and click "Add data source".
2. Search for "SharePoint" in the list and click "+ Add".
3. On the data sources list, open Sharepoint and scroll down to "Request Handling" section and select Integration.
4. Click "Connect" and follow the onscreen instructions to authorize MineOS the required permissions to your Sharepoint account.
5. Make sure to select the "Consent on behalf of your organization" for the integration to work correctly. Don't worry, this usually creates a request for your admin to review and only once he approves the connection will be established.

6. Once the connection is made, you will be redirected back to MineOS and a message will say if the connection was made successfully or not.

7. If you wish to use this integration also for Data Classification, select the "Scan this source using Data Classifier"

8. Click “Save”.

That's it! MineOS is now connected to your SharePoint workspace.

DSR Copy Integration

Sharepoint integration supports DSR copy automation to automatically retrieve files into the request in the MinOS portal. Those files can be filtered and redacted for sensitive data types before being shared with the data subject as part of the Copy report.

How does it work?

Microsoft SharePoint (Tenant) - This is an App mode integration. Customers grant MineOS app-level access to their tenant, enabling a full search scope.

The integration searches by email, name and UPN search. The name search is applied either by the name stated in the request or by the name saved for the data subject's email in the Microsoft directory. The name search searches for multiple permutations, including Full name in different word order, first name initials with a last name.
