Background and Use-Cases
The MineOS redaction tool allows for the removal of sensitive information from copy reports prior to their release to data subjects. This functionality is crucial for ensuring that only relevant data is included in the final report, safeguarding the privacy of other individuals or entities.
For integrations that handle unstructured data (e.g., Google Drive, OneDrive), a copy request usually fetches all files containing the data subject's personal information. However, you might need to redact certain details from these reports if they are irrelevant or belong to other individuals. This selective removal ensures that only pertinent information is included in the final report that is shared with the data subject.
Example use-cases:
- A spreadsheet containing email addresses of multiple users, including the data subject's. In this scenario, the email addresses of unrelated users must be redacted before sharing the document with the data subject.
- A document containing a former employee's email address may also include confidential information that shouldn't be shared with someone who no longer works for the company.
How does it work?
- Navigate to the request where you want to redact data.
- Collect the data from the relevant data source.
- Enter the Redaction Tool by clicking the 'Redact' button. This option is only available for data sources that the redaction tool supports.
- Upon entering the redaction tool, the system automatically identifies and highlights potential sensitive data points with red rectangles, marking them for redaction.
- To remove specific highlighted data points, click on the red rectangle surrounding the data, then select 'Remove selection'.
- Click 'Select' to manually mark additional data points for redaction.
- After you've finished selecting data points for redaction, click 'Redact selection' to apply the changes.
- Click 'Save' to confirm your changes. Then, use the left panel to navigate to the next file collected from this data source.
- Once you've completed redacting all files, click the back arrow to return to the request page.
- Preview the copy report to see the redacted data.
