Microsoft OneDrive (Tenant) Integration

Understanding the relationship between SharePoint and OneDrive

OneDrive for Business is not a standalone platform; it's a personal window built on top of SharePoint. Every employee's OneDrive is actually a private, single-user SharePoint site collection containing a single document library, hosted on your company's tenant. Under the hood, both platforms share the same Microsoft cloud architecture, file storage engines, and security frameworks.

When an employee leaves and IT deletes their account, their OneDrive isn't immediately destroyed: it's marked for deletion and retained for a configurable period set in the SharePoint admin center (30 days by default, adjustable up to 3,650 days), during which admins can still access it or transfer ownership. Once that retention window closes, the OneDrive moves into the site collection recycle bin for another 93 days before it's permanently deleted, unless it's under a litigation hold or retention policy, in which case it's preserved indefinitely.

Best practice: In the MineOS inventory, the SharePoint (Tenant) integration includes only the company's shared sites. To scan both shared and personal sites, you need to include both the SharePoint (Tenant) and OneDrive (Tenant) integrations in your workflow. Retention notice: Make sure your OneDrive retention period for deleted users is set appropriately to accommodate future potential copy/access requests, as the default configuration is 30 days.

Before you start

  • Make sure your MineOS plan supports integrations.
  • Make sure you are a OneDrive Business user with administrator permissions.
  • [Optional] Enable Preview mode to view sample PII values alongside classification results. The sample values are stored encrypted and automatically deleted after 7 days. You must enable Preview mode before running the scan to see sample values. For more information about how to set up Preview mode go here.

Setting up

1. To connect OneDrive integration, on the left sidebar, click on “Integrations”  and search for OneDrive in the integrations list.

2. Click "Connect" and follow the onscreen instructions to authorize MineOS to access your OneDrive account. 

if you don't have the checkbox Consent on behalf of your organization (or you do not check it), you will have limited permissions for your scan. 

Click Accept


3. Once the connection is made, enable the integration and click “Save”.

4. To use the OneDrive integration in DSR, add the integration under DSR setup to the relevant workflows.

That's it! MineOS is now connected to your Onedrive.

DSR Copy Integration

OneDrive integration supports DSR copy automation to automatically retrieve files into the request in the MinOS portal. Those files can be filtered and redacted for sensitive data types before being shared with the data subject as part of the Copy report.

How does it work?

Microsoft OneDrive (Tenant) - This is an App mode integration. Customers grant MineOS app-level access to their tenant, enabling a full search scope.

The integration searches by email, name and UPN search. The name search is applied either by the name stated in the request or by the name saved for the data subject's email in the Microsoft directory. The name search searches for multiple permutations, including Full name in different word order, and first name initials with a last name.

Deprecation notice: The Microsoft OneDrive integration is legacy integration and is on the path of deprecation. If you are using this integration, make sure to connect the OneDrive (Tenant) integration.
