Set Up a Custom Email Sender Domain
Ensure that email communications sent to data subjects from MineOS are branded and come from your own domain.
By default, emails sent from MineOS use no-reply@saymine.io as the sender address. You can replace this with your own domain so that data subjects receive emails directly from your brand.
Setup Steps
- Navigate to DSR Setup → Brands → select a brand → Custom Sender Address (scroll to the bottom of the brand page)
- Click Edit address

- Enter the full email address you want to use (e.g., privacy@yourdomain.com, no-reply@privacy.yourdomain.com), note that you configure the complete email address, not just the domain

- Click Continue
- Copy the provided DNS records and add them in your DNS manager

- Click Verify domain records in MineOS
- MineOS will verify that the records have been correctly propagated:
- ✅ If all checks pass → the custom domain becomes active for your brand

- ❌ If checks fail → MineOS will indicate which records did not pass. In this case, double check your DNS manager configuration, and click Verify domain records again, or, click the Refresh button next to the missing record.

- ✅ If all checks pass → the custom domain becomes active for your brand
Tip: We recommend using a dedicated subdomain for your sender address (e.g., privacy.yourbrand.com) rather than your main domain. This keeps your primary domain's email reputation protected — if deliverability issues arise, they stay isolated to the subdomain and won't affect your company's other email communications. It also reduces security risks from DNS misconfiguration, and keeps your brand front and center with recipients rather than exposing the tools behind it.
Changing or Removing Your Custom Email Sender Domain
Removing a custom domain resets the sender address to the default no-reply@saymine.io. Only after removal can a new custom domain be configured.
- Click Remove custom address

- Click Remove custom address in the dialog

- The sender address will be changed to the default address no-reply@saymine.io
- If you want to configure a new custom sender address, go through the set up steps as explain at the top of this article
Custom Email Sender Domain with Multi-Brand
If your account has Multi-Brand enabled, a custom email sender domain can be configured independently for each brand. This means each brand can have its own "From" address, ensuring data subjects always receive emails that reflect the correct brand identity. To learn more about multi-brand abilities click here.
Reusing a domain across brands: The same domain can be used across multiple brands within your company, with a different full email address per brand (e.g., privacy@yourdomain.com for one brand, noreply@yourdomain.com for another). Alternatively, you can use the exact same email address across all your brands if preferred. If the domain is already verified for one brand, the verification step is skipped for subsequent brands using the same domain.
Domain removal with multiple brands: Removing a custom domain from one brand does not affect other brands using the same domain. Removal must be done brand by brand.
A domain cannot be shared across different companies.
