Assessments: Version Control
Maintain a complete version history for your assessments, allowing you to easily review changes over time and restore any previous version if needed.
Before You Start
-
To access version history, you must have an Admin, Manager, or Contributor role on the assessment. Users with the 'Collaborator' role cannot view or restore previous versions.
What You Can Do Here
-
View the complete save history of an assessment.
-
Preview the content of any previous version.
-
Restore an assessment to a prior state.
Features
View Version History
Every time you save an assessment, a new version is created and stored. You can access the full history in the 'Versions' panel.
-
Each version is listed with the date, time, and the name of the user who saved it.
-
Version history is kept for up to one year.
-
To keep the history clean and easy to read, saves made in quick succession are grouped into a single representative version.
Preview a Previous Version
Click on any version in the history list to open a read-only preview of the assessment as it existed at that moment.
-
The preview is for viewing only; you cannot edit any fields.
-
You can select and copy text from any field in the preview.
-
The only available action from the preview screen is 'Restore'.
Restore a Previous Version
If you need to revert to an earlier state, you can restore any version from the history.
Important: Restoring a version will completely overwrite the current content of your assessment with the content from the selected older version. This action cannot be undone.
-
A confirmation message will appear to ensure you want to proceed with overwriting the current assessment.
-
If you have unsaved changes in the current assessment, you will be prompted to either save or discard them before the restoration can proceed.
How Does It Work
Restoring a version reverts the core content of the assessment, but certain related information and metadata are intentionally kept unchanged to avoid confusion and data loss.
What IS Restored:
-
All answers within the assessment form.
-
Links to other entities that existed at that time, such as Systems, Risks, and other Assessments.
What is NOT Restored:
-
Assessment Metadata: The name, tags, owners, and collaborators of the assessment will remain as they are now.
-
Attached Files: Any files currently attached to the assessment will not be removed or changed.
-
Related Items: Links to systems, risks, or other items that have been deleted from the platform since the version was saved will not be restored.
-
Form Submissions: Any form submissions associated with the assessment are not affected.
Note: Copying an assessment creates a new, clean assessment and does not include the version history of the original.
Troubleshooting
I can't see the 'Versions' panel or access the version history
-
Cause: Viewing version history is restricted by user role. Users with a 'Collaborator' role do not have permission to access this feature.
-
Fix: Ask an administrator to change your role on the assessment to Contributor, Manager, or Admin.
I restored an old version, but the assessment's name and owners didn't change
-
Cause: The version control feature is designed to only restore the content of the assessment itself, not its administrative metadata.
-
Fix: This is the expected behavior. The assessment's name, owners, tags, and collaborators are not affected by restoring a version. You can edit these details manually in the current assessment settings.
