Manually Mark Automated Tasks as Completed
You can manually mark automated deletion tasks as completed when actions are handled outside the platform, ensuring your workflow stays accurate and up to date.
What You Can Do Here
This feature allows you to manually mark automated tasks as completed, reverse completions using the Undo option, and understand how background processes and Autopilot interact with manual completions.
Manually Mark a Task as Completed
Use this when a task was handled outside the platform and you need to update the request status accordingly.
- For automated tasks in the Needs action and In progress sections, click the three-dot menu (...) on the task and select 'Mark as completed'.
- For tasks in the Needs manual confirmation section, the 'Mark as completed' button is directly visible on the task card.
Once marked as completed, the task moves to the Completed section and displays the status: "Manually marked as completed".
Undo a Manual Completion
If you mark a task as completed by mistake, you can easily reverse it.
- Locate the task in the Completed section.
- Click the 'Undo' link next to the status message.
This moves the task back to its previous section ('Needs action' or 'In progress') so you can manage it again.
Note: An audit log entry is created for both marking a task as complete and undoing the action, including who performed the action and when.
How It Works with System Processes
Autopilot
- If Autopilot is running: The 'Mark as completed' option will be disabled (grayed out) for all tasks in that request. You must first click 'Stop auto-pilot' to manage tasks manually.
- If Autopilot has an error: The 'Mark as completed' option becomes available, allowing you to resolve the task manually. You can still use the 'Retry Autopilot' option even after manually completing a specific task.
Background Processing
If you manually complete a task while automation is still running in the background, the automation will continue to run. The final status depends on its outcome:
- If the task succeeds: The status will automatically update to "Completed" and show a 'View details' link.
- If the task fails: The status will remain "Manually marked as completed" with the 'Undo' link. The error is recorded in the audit log, but the task stays in the Completed list unless you undo it.
Troubleshooting
The 'Mark as completed' option is grayed out or disabled
- Cause: This happens for two main reasons: Autopilot is currently active for the request, or the task is in the 'Ready to run' section. Manual completion is not available in these states.
- Fix: If Autopilot is active, you must select 'Stop auto-pilot' before you can manually manage individual tasks. If the task is in the 'Ready to run' section, you must wait for it to begin processing.
I clicked 'Undo', but the task stayed in the 'Completed' section
- Cause: If an automated task was running in the background, it may have finished successfully after you manually completed it but before you clicked 'Undo'. For example: you mark a task complete at 2:00 PM, the automation finishes at 2:01 PM, you click Undo at 2:02 PM—the task will remain completed.
- Fix: This is expected behavior. The system recognizes that the task is now genuinely complete. The status will change from "Manually marked as completed" to "Completed." You can review the details in the audit log.
An automated task failed, but the status still says 'Manually marked as completed'
- Cause: If you manually complete a task while it is running, and it later fails in the background, the system preserves your manual status to avoid overriding your action.
- Fix: This is expected. The error from the automation is available in the audit log for review. If you need to retry the task, click the 'Undo' link to move it back to the 'Needs action' section.
